12 questions to ask before booking wedding ice cream

Most wedding ice cream suppliers look similar on Instagram. The differences show up on the day: a queue that doesn't move, a generator that trips the machine, or a surprise bill for extra mileage. Ask these twelve questions before you pay a deposit. We've included our own answers so you have something to compare against.

Pricing and what's included

  • Is it a fixed package or pay-per-cone? (Ours: a fixed package with unlimited servings during the service.)
  • What exactly is included: toppings, cones or tubs, staff, travel? (Ours: toppings, compostable tubs and spoons, an attendant and travel within 50 miles of Leeds.)
  • Is there a different price for weekdays? (Ours: £595 Monday to Thursday, £645 Friday to Sunday.)
  • How much is the deposit, and when is the balance due? (Ours: 20% or £100, whichever is higher, with the balance due 14 days before.)

Capacity and timing

  • How many servings can you make per hour? (Ours: about two a minute, so 200–240 in two hours.)
  • What does an extra hour cost? (Ours: £100.)
  • How long do you need to set up, and can you arrive early? (Ours: about 30 minutes; earlier arrival is charged as idle time.)

Venue and logistics

  • What power do you need? (Ours: a mains socket within 15 metres. Generators often trip soft-serve machines.)
  • Can you set up indoors? (Ours: yes, the tuk fits through standard double doors, but not up steps.)
  • Do you have public liability insurance and PAT-tested equipment? (Ours: £5 million cover, and all equipment is PAT tested.)

Guests and dietary needs

  • Is there a vegan or dairy-free option? (Ours: a vegan-only mix on request.)
  • Can we personalise it? (Ours: tub stickers, printed wafer discs, waffle cones and custom neon.)

One more thing: read the reviews

Look for reviews that mention weddings specifically, and how the team handled the venue and the queue, not just whether the ice cream was nice. Our Google reviews are a good example of what to look for, including the couple whose original supplier let them down six weeks before the wedding.
